Training Camp Booking Terms
Booking terms and conditions for Cycling Science training camps. Last updated: 4 October 2026.
Please read these terms before you book. They set out what you can expect from us, what we expect from you, and what happens if plans change. If anything is unclear, ask us before you pay your deposit.
1. Who we are
1.1 The camps are organised by Submax Performance Ltd, trading as Cycling Science, a company registered in Scotland (company number SC443671), 49 Craigston Park, Dunfermline, KY12 0XZ (“we”, “us”, “our”). You can contact us at richard@cycling-science.com or through our contact page.
1.2 “You” means each person named on the booking. The person who makes the booking (the lead booker) confirms that they are authorised to accept these terms on behalf of everyone on it.
2. The camps and what is included

2.1 Each camp is based in Turre, Almería, Spain, and includes: seven nights bed and breakfast accommodation; daily guided road and gravel rides; three coaching presentations (training zones, nutrition and technique); an individual 1-to-1 coaching session; and secure bike storage.
2.2 Optional extra: return airport transfer between Alicante airport and the accommodation, £70 per person, if booked and paid for with us.
2.3 Not included: flights; travel insurance; lunches, evening meals and drinks unless we tell you otherwise in writing; bike hire; personal expenses. Bike hire can be arranged on request with a local supplier; it is a separate contract between you and that supplier, paid to them directly, and it is not part of your booking with us.
2.4 Each camp takes a maximum of five guests. Ride routes, distances and the daily programme are a guide and may be adjusted for weather, road conditions, group ability or safety.
2.5 Larger groups. For larger group bookings we can base a camp at the Hotel Marina Playa in Mojácar instead. These camps are priced separately, and the price and inclusions will be confirmed in writing.
2.6 Bespoke camps. We may also design and run bespoke camps of different lengths or formats for individual clients or groups, based at Casa Davar or at the Hotel Marina Playa. The dates, price and what is included will be set out in writing, and these terms apply unless we agree otherwise in writing.

3.1 Prices are fixed once we confirm your booking. We will not add surcharges after confirmation.
4. Booking and payment
4.1 To book, complete our booking form or contact us by email. We will confirm availability and then hold a place for you for 7 days while you pay your deposit.
4.2 A deposit of £200 per person is payable to secure your place. Your booking is confirmed, and a contract between us is formed, when we receive your deposit and send you written confirmation.
4.3 The balance is due eight weeks (56 days) before the camp starts. The dates for each camp are shown in the table in section 2. We will send you a reminder before the due date.
4.4 If you book within eight weeks of the start date, the full price is payable at the time of booking.
4.5 If the balance is not paid by the due date, we will contact you. If it is still unpaid seven days after that, we may treat your booking as cancelled. In that case you lose your deposit, but we will not ask you for any further cancellation charge.
4.6 Payment is by bank transfer to the account we give you in your confirmation. We will never change our bank details by email. If you receive a message asking you to pay into a different account, do not pay; phone us first to check.
4.7 Minimum age. Guests must be at least 16 on the first day of the camp. Guests aged 16 or 17 need the written consent of a parent or guardian, who must also accept these terms and complete the health and rider questionnaire with them. They do not need to be accompanied by a parent or guardian on the camp.
4.8 No cooling-off period. The 14-day right to cancel that applies to some online and telephone purchases does not apply to bookings for leisure services on specific dates. The cancellation terms in section 5 apply from the moment your booking is confirmed.
5. If you cancel
5.1 You may cancel at any time by telling us in writing (email is fine). The cancellation charge depends on when we receive your notice:

If you cancel before you have paid the balance, the charge is your deposit only, whenever you cancel. The charges in the table above apply once the balance has been paid.
5.2 These charges reflect the costs we cannot recover and the difficulty of re-selling a place in a five-person group. If we re-sell your place, we will refund what you have paid less the deposit.
5.3 Travel insurance with cancellation cover is the way to protect yourself against having to cancel for illness, injury or other personal reasons (see section 9).
5.4 You may cancel without any charge and receive a full refund if unavoidable and extraordinary circumstances at or near the destination significantly affect the camp or your travel to it, for example where the UK Foreign, Commonwealth and Development Office advises against all but essential travel to the area.
5.5 Unused services. If you arrive late, leave early, or miss rides or other parts of the programme for your own reasons, including your own illness or injury, no refund is due for the parts you do not use. Your travel insurance may cover this.
6. Changes you make
6.1 Transfer to another person. You may transfer your place to someone else who meets the requirements in section 8, provided you tell us at least seven days before the camp starts. There is no charge from us; you and the new guest are jointly responsible for any balance due.
6.2 Change of camp. If you ask more than eight weeks before your camp starts, we will move you to another camp once, free of charge, if a place is available. Later requests are treated as a cancellation and a new booking.
7. Changes and cancellation by us
7.1 Minimum numbers. Each camp needs at least three guests to run. If that number is not reached, we may cancel the camp by telling you at least 20 days before it starts. We will confirm to every guest when their camp has reached minimum numbers.
7.2 Unavoidable circumstances. We may cancel the camp, before or during it, if unavoidable and extraordinary circumstances prevent us from running it safely, for example severe weather, natural disaster, public health restrictions, civil unrest or official travel advice. We will tell you as soon as we can. If we have to end a camp early for these reasons, we will refund the price of the nights and services you have not received.
7.3 If we cancel under 7.1 or 7.2 before the camp starts, you can choose a place on another camp or a full refund of everything you have paid us, which we will make within 14 days. We will not pay further compensation where we cancel under 7.1 within the notice period, or under 7.2.
7.4 Significant changes. If before the camp we need to make a significant change (for example a change of dates, base town or accommodation to a lower standard), we will tell you promptly. You may accept the change, accept an alternative we offer, or cancel and receive a full refund within 14 days.
7.5 Minor changes, such as a change of route, ride leader or the order of the programme, may be made without notice and do not give a right to cancel or to compensation.
7.6 Richard Davison will lead each camp. If illness or another emergency prevents this, we will provide a suitably qualified replacement and tell you as soon as possible.
8. Fitness, health and safety on the bike
8.1 Fitness. The camps involve several consecutive days of riding, including sustained climbing. You confirm that you are fit enough to ride up to 160 km a day on hilly terrain and to ride comfortably in a group. If you are unsure, talk to us before booking.
8.2 Health. Before the camp you must complete our health and rider questionnaire and tell us about any medical condition, injury, medication or allergy that could affect your riding or your safety. This information is kept confidential and used only to keep you safe. If you have any doubt about your health, consult your doctor before booking.
8.3 Equipment. You must wear a properly fitted cycle helmet on every ride. Your bike must be in good, roadworthy condition and suitable for the riding described. We recommend lights, spare tubes and a basic tool kit. E-bikes are welcome. Airlines do not carry e-bike batteries, so an e-bike must be hired locally; tell us when you book and we will help arrange it.
8.4 Rules of the road. Rides take place on public roads open to traffic. You must obey Spanish road traffic law and follow the reasonable instructions of the ride leader. You remain responsible for your own riding and for riding within your ability.
8.5 Group riding. We may split a group or adjust a ride so that everyone rides at a suitable level. If, in the ride leader’s reasonable opinion, your riding or behaviour puts you or others at risk, you are unwell or injured, or you appear to be under the influence of alcohol or drugs, we may ask you not to take part in a ride. If your behaviour seriously disrupts the camp or endangers others, we may ask you to leave it. In either case no refund is due.
8.6 Cycling carries an inherent risk of accident and injury, even with good leadership. By booking you acknowledge this risk. This does not reduce our responsibility under section 10.
8.7 Disability and accessibility. If you have a disability or reduced mobility, or need any adjustment, please tell us before you book. We will accommodate your needs wherever we can, and we will tell you honestly if any part of the camp, the accommodation or the riding may not be suitable.
9. Insurance and travel documents
9.1 You must have travel insurance for the whole of your trip that covers: medical treatment and repatriation; cycling on public roads (including road cycling and gravel riding if not automatically included); personal liability; and cancellation. We strongly recommend cover for your bike and equipment. You must give us your insurer’s name, policy number and emergency number before the camp.
9.2 You should also carry a valid UK Global Health Insurance Card (GHIC) or EHIC. It does not replace travel insurance.
9.3 You are responsible for having a valid passport and meeting any entry requirements for Spain, including the EU Entry/Exit System and ETIAS where these apply to you.
10. Our responsibility to you
10.1 We are responsible for providing the services in your booking as described. If any part is not provided as agreed, please tell us straight away so that we can try to put it right.
10.2 We are not responsible where a failure or injury is caused by you; by a third party not connected with the services we provide, where it was unforeseeable or unavoidable; or by unavoidable and extraordinary circumstances.
10.3 Flights and other travel you arrange yourself are not part of your booking with us, and we are not responsible for them or for any costs if a camp is changed or cancelled. We recommend that you buy flexible or refundable flights, or wait until we have confirmed your camp has reached minimum numbers (see 7.1).
10.4 Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, or for fraud, or any other liability that cannot lawfully be limited.
10.5 For any other loss, our liability is limited to three times the total price you have paid for the camp. We are not liable for loss or damage to your bike or belongings unless caused by our negligence.
10.6 Coaching presentations and the 1-to-1 session are educational and general in nature. They are not medical advice and do not replace advice from your doctor or other health professional.
11. Accommodation
11.1 Please respect the accommodation, the house rules we give you on arrival and the neighbours. You are responsible for the cost of any damage you cause beyond normal wear and tear.
11.2 Rooms are allocated according to your booking. We will not place you in a shared room with someone you have not agreed to share with. A guest under 18 will never share a room with an adult other than their own parent or guardian.
12. Photographs and video
12.1 We may take photographs and video during the camp and use them on our website and social media. If you would prefer not to appear, tell us on your health and rider questionnaire or at any time, and we will respect that.
13. Your personal information
13.1 We use the personal information you give us (including health information under section 8) only to manage your booking, keep you safe on the camp and meet our legal obligations, in line with UK data protection law and our camps privacy notice.
14. Financial protection
14.1 We are arranging protection for the money you pay us in case we become insolvent. We will give you the details in your booking confirmation, and we will not take any payment from you until that protection is in place.
15. Complaints
15.1 If you have a problem during the camp, tell Richard or the ride leader straight away so that we can try to put it right there and then.
15.2 If it cannot be resolved on the spot, please write to us within 28 days of the end of the camp. We will acknowledge your complaint within 7 days and aim to respond in full within 28 days.
16. Gift vouchers
16.1 Gift vouchers can be bought for a set amount and used towards the price of any camp. The person named on the voucher books in the normal way, and these terms apply to that booking.
16.2 A voucher is valid for 12 months from the date it is issued. It can be passed on to someone else, but it cannot be exchanged for cash.
16.3 The buyer may cancel a voucher and receive a full refund within 14 days of buying it. After that, vouchers are not refundable.
16.4 If a voucher is used towards a camp that we then cancel, we will reissue the voucher with a new 12-month validity, or refund the voucher amount, whichever the holder prefers.
17. Law
17.1 These terms are governed by the law of Scotland. If you live elsewhere in the UK, you may bring proceedings in the courts of the part of the UK where you live. Nothing in these terms affects your statutory rights as a consumer.
By paying your deposit you confirm that you have read and accept these terms on behalf of everyone named on your booking.
